The Response Time Rule

This does not mean you need to respond in two minutes at all hours. It means you need a system:

Immediately (automated)

Within 1 hour (business hours)

Personal response email with tour invitation and key information

Within 3 hours (evenings/weekends)

Same personal response — if you receive inquiries outside hours, batch-respond first thing

Before using any template: Read the inquiry carefully and add at least one personalized line. Templates save time; personalization closes deals. A response that references their specific date, guest count, or stated vision converts at meaningfully higher rates than a copy-paste reply.

The tour follow-up is different from the inquiry follow-up. You have met them. You know their vision. Your email should reflect that.
