Why It Matters for Inquiries and Tours
When a couple asks whether 140 guests will fit with a dance floor, the honest answer depends on what you own, what is currently usable and what the layout needs. Without a reliable sheet, coordinators guess, quotes change after the tour, and rental surprises appear close to the wedding. With one, your reply to an inquiry and your conversation on the tour can be specific and consistent.
The Template Columns
| Column | Header | What goes in it |
|---|---|---|
| A | Item | Plain name, e.g. 60" round table |
| B | Style | Finish or model, e.g. white folding, crossback |
| C | Dimensions | Size that affects layout, e.g. 6 ft x 30 in |
| D | Owned | Total units the venue owns |
| E | Unavailable | Damaged, out for repair or lent out |
| F | Usable | Formula: owned minus unavailable |
| G | Needed | Units required for the confirmed layout |
| H | Shortfall | Formula: units to rent |
| I | Storage | Where it lives on site |
| J | Verified date | Date someone last physically counted |
| K | Owner | Person responsible for this row |
Copy the header row
Select the line below, copy it, and paste it into cell A1 of a new spreadsheet. The columns are separated by tabs, so each header lands in its own cell.
Item Style Dimensions Owned Unavailable Usable Needed Shortfall Storage Verified date OwnerFormulas With Blank and Zero Handling
These work in Google Sheets and Excel. Enter them in row 2 and fill down. The goal is to keep a blank cell meaning "not counted yet" and a zero meaning "counted, and there are none".
Usable (F2)
=IF(OR(D2="", E2=""), "", MAX(0, D2 - E2))Blank until both owned and unavailable have been entered. Enter 0 when none are unavailable; an unknown count should not silently become zero. Never goes below zero.
Shortfall (H2)
=IF(OR(F2="", G2=""), "", MAX(0, G2 - F2))Stays blank until both usable and needed are known, so an empty row is not mistaken for "nothing to rent". A needed value of 0 returns 0.
Validation for D, E and G
=OR(D2="", AND(ISNUMBER(D2), D2>=0, D2=INT(D2)))Apply as a custom data validation rule (adjust the column letter) so counts must be blank or a whole number of zero or more.
Illustrative example
The numbers below are made up to show how the formulas behave, not taken from any venue.
| Item | Owned | Unavailable | Usable | Needed | Shortfall |
|---|---|---|---|---|---|
| 60" round table | 20 | 2 | 18 | 25 | 7 |
Twenty owned minus two damaged leaves 18 usable. The layout needs 25, so the event needs 7 rented tables.
Capacity Is Not the Same as Your Chair Count
Owning 200 chairs does not mean the venue seats 200 for dinner. Seated capacity depends on the layout: table shape and size, aisle widths, the dance floor, the head table, bars, buffets and any fire-code limits for each room. Record capacity per layout separately, and use the inventory to check whether you have the furniture to deliver that layout.
Keep Provisional and Confirmed Separate
- Base the Needed column on a confirmed floor plan only. Keep tentative layouts on a separate tab so they do not trigger rentals.
- Track rentals in two states: provisional (a quote or hold) and confirmed (ordered, with a delivery date). Only confirmed rentals close a shortfall.
- When an event date or guest count changes, update Needed first, then review the rentals against it.
Who Updates the Sheet
Every row has an owner in column K. That person updates Unavailable when something is damaged, sent for repair or lent to another event, and updates it again when the item comes back. After every wedding, the closing team notes breakage and the owner adjusts the count within a day or two. Whenever someone physically recounts, they update the verified date in column J. A row that has not been verified in months should be recounted before it is quoted.
A Final Check Before You Confirm
Before promising the equipment, check four things together: the dated physical count, the latest floor plan, other events using the same stock, and confirmed rental delivery and collection times. A quote from a rental company is still provisional until the supplier confirms the order. Allow for cleaning, repairs and transfers between events rather than assuming an item is ready immediately after collection.
Flag any row where unavailable exceeds owned; a zero usable result should not hide a counting mistake. Keep unknown counts blank and resolve them before sharing a confirmed inventory. Name the team member who signs off the handoff and who receives updates if a layout, count or delivery changes.
The Planner Handoff
When a couple's planner or rental company asks what you have, send a copy rather than live access, and put the version date in the file name and at the top of the sheet, for example "Furniture inventory, verified October 26, 2026". Include the dimensions column so they can plan linens and layouts. If counts change after you send it, send a new dated version so everyone works from the same numbers.
